office Manager & Executive assistant

Location: Denver, CO

Position Summary

We are searching for a highly professional, organized, dynamic, get-it-done kind of individual to manage our Denver office and support our executive team. You will run day-to-day office logistics while managing and coordinating the executive team’s schedules in a professional manner. You are self-motivated and take the initiative to complete tasks without being directed to do so. You pay attention to details so accuracy and thoroughness are second nature to you, however, you are still able to adeptly prioritize and plan your work so that you meet deadlines. You adapt well to a changing start-up environment that allows you to handle unexpected or frequent changes and delays. 

What You Are Accountable For

As a member of the administrative team, the Office Manager & EA is expected to:

  • Coordinate executives' schedules including meetings and travel logistics
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe meeting minutes
  • Seek ways for us to become more productive through process, tools and technology
  • Be the main point of contact with various vendors and suppliers
  • Coordinate repairs, cleaning and office maintenance with building management at all locations
  • Be a key member of the on-boarding team making sure that new hires have the appropriate equipment, keys, and other things to help them integrate as a welcomed member of our team
  • Make sure mail gets to the appropriate person
  • Organize and maintain file systems
  • Greet scheduled visitors
  • Prepare outgoing mail and correspondence, including e-mail and faxes
  • Order and maintains supplies, and arrange for equipment maintenance

Education & Experience

  • Minimum of 5 years in an executive administrative position
  • Minimum of 5 years in an office manager position
  • Excellent written and verbal communication skills are a must
  • Startup experience is a plus
  • Bachelor’s degree is a plus
